PEBC Document Evaluation: How to Send Transcripts and Documents (The New Way!)
Are you an international pharmacy graduate looking to practice in Canada? The Pharmacy Examining Board of Canada (PEBC) Document Evaluation is your first crucial step. And if you've been wondering how to send your precious transcripts and necessary documents, especially if you're far from your previous university, worry no more!
Gone are the days of solely relying on traditional mail for all your submissions. PEBC has streamlined the process, offering more convenient and efficient ways to get your documents to them.
Who Can Apply for PEBC Document Evaluation?
First things first, let's confirm who needs to go through this process. If you are an international pharmacy graduate whose degree requires review to determine its equivalency to a Canadian 4-year, entry-level pharmacy degree, then this applies to you.
The Document Evaluation Steps: A Refresher
Before we dive into the new document submission methods, let's quickly recap the overall steps for PEBC Document Evaluation:
- Register with the Pharmacists’ Gateway Canada to obtain your NAPRA ID number.
- Apply online for Document Evaluation through your PEBC Portal account.
- Pay the full fees.
- Certify printed online application and supporting documents and send them to PEBC.
- Submit your university Transcript and Licensing Statement.
- Education Verification: Confirm in your Portal application that your entered education information is accurate.
- Licensing Verification: Ensure your licensing statements are in order.
- Application Step Acknowledgement: Confirm you will submit all required documents for education verification.
Focus on the New: How to Send Your Transcript and Documents
This is where the exciting updates come in! PEBC now offers more flexibility for sending your crucial academic documents.
Your University Transcript: Direct from Source
PEBC requires your university transcript(s) for each of your pharmacy degree programs. This must contain a list of all courses with corresponding grades.
The most significant change here is how your transcript can be delivered to PEBC:
-
Direct from your University by Courier:
- Your university or affiliated college should send your transcript directly to PEBC.
- Recommendation: Request tracking, do not request signature confirmation, and enter $0 as the value.
- New Flexibility: If your university won't send it themselves, you can arrange for a courier to pick up your transcript directly from the university or college and deliver it to PEBC. Crucially, the university must be indicated as the sender. Again, do not request signature confirmation and enter $0 as the value.
- Important Note: PEBC will NOT accept your transcript if it has been given to you or anyone else first, or if non-university documents are sent with it. It also won't be accepted if sent with your main application.
-
Direct from your University by Email (The Game Changer!):
- You can now request your transcript to be emailed directly to desubmit@pebc.ca.
- Key Requirement: The document will only be accepted if it is emailed directly by the university or an affiliated college.
- Verifiable Email: PEBC will only accept documents from a verifiable university email address. The email must contain a position title or department name (e.g., "Registrar's Office," "Academic Records Department") rather than an individual's name.
- Avoid Duplication: Do not send both a hard copy and a digital version of the same document. Choose one method.
What if your university cannot send an original? They can provide a photocopy, but each page must be stamped by your university and signed by a university official. Remember, PEBC does not accept transcripts with documents, stamps, or signatures from organizations other than your university.
University Degree Certificate: When It's Needed
- If your transcript, or a letter attached to it, clearly states that your degree has been conferred, you do not need to submit your degree certificate.
- If that statement is not on your transcript, then you need to submit a properly certified copy of your degree certificate (or equivalent). This certification must be done by one of the professionals who can certify your main application and ID documents.
Syllabus: Mailing or Emailing Yourself!
If your university's program hasn't already been approved by PEBC, you'll be asked to submit an official university syllabus.
- Good News: You can mail or email your syllabus to PEBC yourself. This offers more direct control for this particular document.
- Requirements: Ensure it proves it was issued by the university, states your program level and duration, represents your graduation year, and includes a course title and description for every course in your pharmacy program. It does not need to be certified.
Important Reminders for All Submissions
- Issue Date: For transcripts, the issue date must be within one month of the date PEBC receives it.
- PEBC ID: Always include your PEBC ID number in any correspondence with PEBC.
- Communication: PEBC primarily communicates via email, so ensure your contact information in your Portal account is up-to-date and check your email regularly.
- No Acknowledgment: PEBC does not acknowledge receipt of documents until your Document Evaluation application and fee are received. If you want to confirm delivery, use courier tracking.
